Task & Reminder Calendar #

This section of the NexaPortal system helps sales agents manage and view all tasks and reminders in a calendar format. Different users such as managers, support teams, and field operations can use this calendar to organize their schedules.

🗓️ Calendar View #

The calendar is displayed by default in the monthly view, but users can switch to the weekly (Week), daily (Day), or list view (List View) using the buttons at the top right.
The Today button is also available for quick access to today’s date.

 

🧩 Items Displayed in the Calendar #

Each card or item in the calendar represents a scheduled task, reminder, or duty. Information for each item includes:

  • Task Type (e.g., Manage Lead, Follow up lead, Track case, Field Operation, Support After Care)

  • Task or Lead Code (e.g., #538947)

  • Exact Task Time (e.g., 14:30)
    If there are many tasks on a particular day, the calendar will automatically display “+5 more,” and by clicking on it, the remaining items will be visible.

 

🎛️ Filters #

On the left column of the calendar, there are various filters:

  • Select Month & Year

  • Filter by Assignee (person responsible)

  • Filter by Label or Task Type

By toggling each category, only the relevant items will be displayed.

 

🔘 Quick Filter Buttons #

At the top, there are several quick filter buttons:

  • Tasks: Only tasks are displayed

  • Reminders: Only reminders

  • Canceled/Done Tasks: Tasks that are canceled or completed

  • Unassigned Tasks: Tasks not assigned to anyone

  • All Items: Display all items

  • My Items: Only items related to the logged-in user

 

💡 Tip: The task and reminder calendar is an essential tool for managing team productivity and preventing the forgetfulness of important tasks in the system.

Transfer Calendar #

The Transfer Calendar in NexaPortal is designed for managing patient transfers. This section helps the transfer team view the detailed schedule for patient arrivals and departures, allowing for more precise planning of transfers.

🗓️ General Structure #

This calendar is shown by default in the monthly view. The calendar view can be changed to:

  • Week: Weekly view

  • Day: Daily view

  • List View: Scheduling list view
    The Today button is available for quick access to today’s date.

 

🔍 Filters #

On the left side, filters for customizing the calendar are available:

  • Select Month & Year

  • Filter by Transfer Type:

    • Incoming (From airport to hotel/clinic)

    • Outgoing (From hotel/clinic to airport)

    • All (Display all)
      At the top of the calendar, additional filters are available:

  • Location (Filter by trip location or destination)

  • Patient (Search by patient name)

 

🚐 Item Details in the Calendar #

Each item in the calendar represents a transfer task and includes the following information:

  • Patient Name

  • Transfer Start and End Locations (e.g., Mississauga, Canada → Izmir, Turkey)

  • Transfer Type (e.g., Hotel, Hospital, Airport) indicated by color

  • Transfer Date

If there are multiple tasks on one day, they will display with “+X more.”

💡 Tip: The Transfer Calendar ensures that all transfers are performed smoothly from origin to destination, with precise coordination. The color-coded items and filters simplify quick access to the information.

 

Field Operation Calendar #

The Field Operation Calendar in NexaPortal is designed for planning and managing field activities like patient accompaniment at clinics, interpretation, or on-site services. This calendar helps field operations team members view their daily tasks and coordinate between different duties.

  • Week: Weekly view

  • Day: Daily view

  • List View: Activity list view

🔍 Filters and Options #

At the top and left column of the page, options to filter the calendar are available:

  • First Appointment Toggle: Only shows patients with their first appointment registered

  • Clinic: Filter by treatment center

  • Assignee: Filter by responsible individual

  • Patient: Search by patient name or number

  • Month & Year: Select custom time periods

 

📌 Item Details for Each Event in the Calendar #

Each item in the calendar is a field operation task for a patient and includes:

  • Patient Name or Lead Code

  • Destination Clinic (e.g., Gazi Hospital or Wise & Smile)

  • Required Language for accompaniment (e.g., EN for English, CS for Czech)

  • Assigned Person Icon

Items are color-coded for easy identification.

 

💡 Tip: The Field Operation Calendar ensures no appointments or accompaniments are missed, especially on days when multiple patients are scheduled across different clinics.
